Executive Support Manager

Executive Support Manager This position is a temporary position to cover Maternity Cover starting mid to end March 2019 and ending approx. end of May 2020. Hours of work are Monday to Thursday 8.45am – 5.15pm, Friday 8.45am – 4.45pm, there will also be some meetings outside of normal working hours. The role is covering 2 sites – Boston and Grimsby, therefore own transport and flexibility is essential. Job Role • To provide a high level, comprehensive, expert and confidential secretarial and support service as to the Executive Leadership Team to allow them to carry out their duties effectively • To deliver Governance Support to the Board • To manage and champion the complaints, compliments and enquiries process ensuring that it meets external accreditation standards • To manage the work of the Executive Support Team across two sites Main Duties • Preparing documents including reports, correspondences, spreadsheets and presentation material • Ensure maintenance of diaries - arranging events, meetings and visits • Managing agenda preparation for meetings as well as minute taking • Manage and champion the complaints process • Provide information and guidance when the Chief Executive is absent • Undertake projects – research and collate information and presenting your findings • Develop and maintain administrative systems • Procure and liaise with professional advisors on the facilities management of the offices • Set and monitor several budgets circa £1.5million Essential Experience • Previous Experience of providing PA/secretarial support to a post at very senior level in a medium/large organisation • Experience of working with a diverse range of contacts, from members of the public to political and/or business leaders • Experience of carrying out work of a confidential nature • Experience of drafting letters and reports.
